Speaker & Poster Presenter Guide: What to Expect On-Site
Welcome to the Wind & Solar Integration Workshop! If your paper has been accepted and you are joining us as a speaker or poster presenter for the first time, this page is designed for you. We want to ensure your conference experience is as smooth and rewarding as possible.
From the moment you arrive to your final presentation, our team is here to support you.
Watch: A Walkthrough of the Conference Experience
To give you a practical impression of how our events run, we have put together a short overview video. Take a look inside to see the typical flow of the conference—from arriving at the check-in desk and picking up your badge, to navigating the technical sessions, networking during coffee breaks, and engaging with peers at the poster exhibition.
Your On-Site Journey: Step by Step
Arrival & Check-In
When you arrive at the venue, your first stop will be the main check-in desk. Here, our team will welcome you and hand over your name badge. This desk also serves as the central Help Desk throughout the entire event—if you ever have a question, just drop by!
Before Your Session
Please arrive at your designated presentation room at least 15 minutes before your session begins. This gives you time to meet your Session Chair, introduce yourself, and ensure the technical staff has your presentation slides ready and properly displayed on the screen.
The Session Flow
Our technical sessions are tightly scheduled to ensure attendees can switch between parallel tracks. Your Session Chair will introduce you, keep track of time during your presentation, and moderate the subsequent Q&A segment. We prioritize a professional but highly interactive atmosphere, so expect engaging questions from the expert audience.
Special Information for Poster Presenters
If your abstract was accepted as a poster presentation, your contribution is a vital part of the technical exchange. We have designed the poster process to maximize the visibility of your research:
Arrival & Setup
You can bring your printed poster directly to the check-in desk when you arrive. Our staff will provide you with all necessary mounting materials and show you exactly where your designated poster board is located.
Continuous Visibility
You are welcome to put your poster up as early as one hour before the conference begins, and leave it hanging for the entire duration of your conference. This gives all attendees the opportunity to read your work at their own pace during any of the breaks.
Dedicated Poster Receptions
While your poster is visible throughout the event, the schedule includes dedicated Poster Receptions. During these highlight sessions, no other presentations take place. Attendees are explicitly invited to grab a drink, walk through the exhibition area, and engage in direct, one-on-one discussions with you about your project. While attending these receptions is highly recommended, it is not compulsory.
